Getting New Emails

When you open KW WebMail, the first screen you see is the INBOX. All mail comes to the INBOX folder, unless you specify otherwise.

  1. Each time you log on to KW WebMail you automatically receive any new emails in your INBOX.
  2. INBOX - If you want to get new messages that have arrived since you logged in to KW WebMail, click INBOX in the upper left-hand corner of the Navigation menu.

Reading Emails

  1. When you have logged in, KW WebMail will automatically open up your INBOX.
  2. To read a message from another folder, select the desired folder from the upper right drop-down menu.
  3. To open a specific message, click on its Subject. The message will be displayed on the screen.
  4. To return to the list of email messages, click on Back to INBOX (or whichever folder the email is in), found on the right-hand side at the top and bottom of your email message.
  5. To move to the next or previous messages, click on the arrows, which are at the top and bottom right of the email message.

Deleting Emails

When you are done reading an email and do not wish to store it, you should delete the email to conserve your account memory, which cannot exceed 15mb.

  1. In the INBOX, or any folder, click in the box to the left of the message(s) you wish to mark for deletion.
  2. Select - From this drop-down menu, you can select the types of emails you wish to mark for deletion.
  3. Delete - When you have selected the emails you want to delete, click Delete, which is at the top and bottom of your messages on the left-hand side.
  4. You can also set an individual email message for deletion by clicking on Delete, when viewing the message.
  5. Deleted emails will be sent to your Trash folder.
  6. You may click the Empty Trash icon in the top navigation bar to permanently delete those emails.
  7. You can permanently delete individual emails in your Trash folder by selecting the Trash folder from the drop-down menu in the right corner of the top navigation bar. Click on the box beside each email you wish to permanently delete, and then, click Delete.
  8. Click INBOX in the top navigation bar to return to your INBOX.

Composing Emails

When you want to contact someone via email, select this function to compose a new message.

  1. From your INBOX, click on Compose in the top toolbar to compose a new message.
  2. A Message Composition window will appear.
  3. Identity - This the email address that the recipient will see as the sender of this email.
  4. To - Enter the email address of the party you wish to email.
  5. Cc - Use this field to send a copy of your message. Type the copied recipient's email address. You can have as many Cc recipients as necessary, separated by commas.
  6. Bcc - Use this field to send a blind copy. Other recipients cannot see that you have sent a copy of the message to this recipient. Type the blind copied recipient's email address. You can have as many Bcc recipients as necessary, separated by commas.
  7. Subject - Enter the subject of the email.
  8. Address Book - If you click here, your address book [anchor link to "Adding Contacts to an Email" chapter] of email addresses will appear. Click on the addresses you wish to email, and click To>>, Cc >>, or Bcc>>. Click OK.
  9. Expand Names - If you type part of a contact's name and click Expand, KW WebMail will fill in the email address that matches the name. If there is more than one email address that matches the partial name you type in, WebMail will bring up all matching addresses and allow you to choose the correct one from a drop-down menu.
  10. Spell Check - When you have finished typing your message, you may check the spelling by clicking Spell Check. A window will appear with any misspelled words. Select an alternate word from the drop-down lists, or type in a new word in the provided box. Click Change, Change All, Ignore, or Ignore All. If you have more spelling mistakes than can be displayed on one screen, or if you are finished, click Next. Click Done to return to your message.
  11. Special Characters - Click this button to insert any unusual characters. Select a character form one of the drop-down menus. Copy that character using your right-click button on your mouse. Click Close Window. Paste the character into your email message using your right-click button on your mouse.
  12. Attachments - To attach files to your email, click Browse to find the file you wish to attach. Click Attach. There is a 2MB limit on single attachments.
  13. Save a Copy in "Sent" - By checking this box, you will save a copy of the outgoing message in your Sent folder.
  14. Request a Return Receipt - By checking this box, you can request that the recipient notify you when they have received the email. Some recipients may not respond.
  15. Type your message in the field of the email.
  16. Send Message - When you have finished typing and editing your message, click this button.
  17. Save Draft - If you have not finished typing this email and wish to continue later, click here.
  18. Cancel Message - Click this to cancel this email message.

Replying to Emails

When someone sends you a message that you wish to reply to, you can use Reply to create an email to send in response.

  1. To reply to an email, click on the email in your INBOX.
  2. When the message of the original email appears, click Reply.
  3. If the original email was sent to several people, and you wish to send your response to all of them, click Reply All. This will send an email to all of the addresses the original email went to, including the original sender; the original sender's address will appear in the To box of your new message; the other recipients will appear in the Cc box.
  4. A Message Composition window will appear with the email address of the party that sent you the original email in the To box. To forward both your reply and the original message on to other parties in your contact list, click on Address Book. Your contact list of email addresses will appear. Simply click on the addresses you wish to email, click To>>, Cc>>, or Bcc>>. And then, click Add Email.
  5. Cc - If you wish to send the email to other parties, you can list their email addresses in this box.
  6. Bcc - Enter the email address of any recipient that you would like to send a copy of your email to without any other recipient's knowledge.
  7. Subject - The subject of the reply will be filled in for you. It will say "RE:(the subject of the original email)." If you wish to change the subject, erase the current subject, and type in a new one.
  8. Address Book - If you click here, your address book (Adding Contacts to an Email) of email addresses will appear. Click on the addresses you wish to email, and click To>>, Cc >>, or Bcc>>. Click OK.
  9. Expand Names - If you type part of a contact's name and click Expand, KW WebMail will fill in the email address that matches the name. If there is more than one email address that matches the partial name you type in, WebMail will bring up all matching addresses and allow you to choose the correct one from a drop-down menu.
  10. Spell Check - When you have finished typing your message, you may check the spelling by clicking Spell Check. A window will appear with any misspelled words. Forwarding Emails

When someone sends you an email that you wish to pass on to others, you can use the Forward function.

  1. To forward an email, click on the original email in your INBOX.
  2. While viewing the message, click Forward. A Message Composition window will appear.

Redirecting Emails

You can redirect an email to someone else's email address.

  1. From your INBOX, click on the email you wish to redirect.
  2. While viewing the email, select Redirect.
  3. To - enter email address to which you wish to redirect this message.
  4. Redirect Message - When you have entered the address to which you wish to redirect the email, click this button.
  5. Click INBOX.

Blacklisting Email Addresses

To stop a particular sender from sending you any more emails, you can Blacklist that sender.

  1. While viewing the email of the party you wish to block, click Blacklist.
  2. The Filter Rules screen will appear with a new rule stating, "Delete messages where the From: field contains…" The email address you blacklisted will be in this rule.
  3. To modify your new rule, click on the button beside the rule, and change any aspects of it under Rule Definition.
  4. When you are finished, click Modify if you modified the rule.
  5. Click Apply All Rules.

Saving an Email

You may save emails to your computer's hard drive.

  1. While viewing the email you wish to save, click Save as.
  2. When the message box appears, click Save.
  3. Choose the file in which you wish to save the email on your computer.
  4. Click Save.

Printing an Email

  1. While viewing the email you wish to print, click Print.
  2. A window showing what the printed document will look like will appear.
  3. A printer message box will also appear. Choose the print settings you desire, and click OK.
  4. Close the print view window.

Sorting Emails in Your Inbox

You can sort messages by date of receipt, by subject and by size.

Sorting by date

  1. Click on the arrow beside Date, at the top of the Date column. Messages will be sorted by date of receipt, with the latest at the top.
  2. Clicking again on the arrow will order the messages with the oldest at the top.

Sorting alphabetically by sender's name

  1. Click on the arrow beside From at the top of the From column. Messages will be sorted alphabetically by the first word in the sender's name.
  2. Clicking again on the arrow will order the messages in reverse alphabetical order.
 

Sorting alphabetically by subject

  1. Click on the arrow beside Subject at the top of the Subject column. Messages will be sorted alphabetically by the first word in the subject line.
  2. Clicking again on the arrow will order the messages in reverse alphabetical order.
 

Sorting messages by size

  1. Click on the arrow beside Size at the top of the Size column. Messages will be sorted according to their size, with the smallest first.
  2. Clicking again on the arrow will sort the messages with the largest first.

Organizing Emails in Folders

You can copy or move messages from one folder to another.

  1. From your INBOX, choose the folder that contains the email you wish to move or copy.
  2. Select the email you want to move or copy, by clicking in the box to the left of the message. To select all, choose All from the Select drop-down menu.
  3. From the Messages to drop-down menu at the top and bottom of your message list, select the folder to which you wish to copy or move messages.
  4. Click on Copy (to replicate the message in another folder) or Move (to remove it from one folder and put it in another). Your message will be moved or copied to the selected folder.

Searching for Emails

If you have stored an email but cannot remember where you put it, you can search any and all folders to find it.

  1. From your INBOX, click Search in the top navigation bar.
  2. Message Fields - Enter the keywords in the appropriate fields for the email you want to find.
  3. Message flags -Select the types of email messages you wish to search.
  4. Message folders - Select the folders you wish to search. To search all, choose Select all.
  5. Click the Search button.
  6. The emails matching your search will appear. Click on the Subject line of any email you wish to view.

Viewing Attached Files

Messages received with files attached, will have a paper clip icon beside the check box to the left.

  1. In your INBOX, click on the Subject to open up the message.
  2. In the Parts field, click on the file name. When the File Download prompt appears, choose whether you wish to save the file or run it from its current location.

Saving Attached Files

To save files attached to emails.

  1. In your INBOX, click on the Subject to open the email that contains the file you wish to save.
  2. In the Parts field, right click on the file name. A pop-up will appear.
  3. Click on Save this program to disk.
  4. From the Save in drop-down menu, select the folder in which you wish to save the attachment.
  5. Click on Save. The attachment is saved in the chosen folder, and you can then view the document in that folder.

Spam: Viewing and Deleteing

Any spam, unsolicited commercial emails, sent to your account will be automatically filtered and stored in your Bulk folder. You should periodically check your Bulk folder and delete all emails that you do not need. Any emails in this folder that are older than 15 days will be automatically deleted.

  1. From your INBOX, click the arrow in the drop-down box next to Open Folder.
  2. Select Bulk.
  3. Click the subject line of any email you wish to read.
  4. When you are finished reading an email, click Delete to delete it. To save the email, see Saving an Email.
  5. To delete emails without reading them, simply click on the empty box at the beginning of the line of any unwanted email. When you have selected all of the unwanted emails, select Delete.
  6. Click INBOX in the top navigation bar to return to your INBOX.
