We're doing everything possible to keep SPAM out, but no filtering/blocking solution is perfect.  If you're looking for a filter that plugs into Outlook - there are several available, but the effective ones aren't free. Norton and MacAfee both released anti-spam suites that interoperate with Outlook.

Spamnet by Cloudmark is also great, but is a paid service: www.cloudmark.com  

Our best recommendation would be a Spamcop account: http://www.spamcop.net/  

and possibly the "Spamsource" plug in to directly report spams. http://www.daesoft.com/SpamSource/index.htm  

Spamcop will automatically parse the mail and send complaints to the admins responsible for the networks where the junk originates. This helps ISPs shut spammers down, and is by far the most effective method to hamper their efforts, but it's still the old whack-a-mole game.

 

Keller Williams Realty Anti-Spam Policy

Introduction

 

“Spam” is the common name applied to unsolicited commercial e-mail sent to addresses whose owners have not affirmatively and verifiably requested the communication, including e-mail messages that contain advertising, promotions, announcements, surveys, website links and similar material. Keller Williams Realty, Inc. (“Keller Williams”) considers Spam an intrusive, inappropriate use of the Internet that alienates potential clients and sales associates. Keller Williams therefore forbids the use of its servers, its trade name or its logo to facilitate the distribution of Spam. This prohibition applies to Keller Williams' staff, to its Regional Representatives and Market Center licensees and to their owners, employees and independent contractors (collectively, “KW Associates”).

Keller Williams' Policy

 

(1)           KW Associates are prohibited from sending Spam, and from allowing their e-mail connections to Keller Williams' servers to be used for sending Spam. In addition to other forms of Spam, Keller Williams specifically prohibits:

•  The distribution of bulk advertising or promotional material, or other forms of electronic solicitation, that contains the Keller Williams name or logo or that advertises any IP address belonging to Keller Williams, or any website hosted by Keller Williams;

•  Unsolicited postings to newsgroups, list serves or chat rooms of materials advertising any IP address owned or website hosted by Keller Williams;

•  Advertising, transmitting, or otherwise making available any software, program, product, or service that is designed to facilitate the distribution of Spam;

•  Forging or misrepresenting message headers, whether in whole or in part, to mask the true origin of an e-mail message; and

•  Any other activity that violates any state or local law, rule or regulation regarding the distribution of Spam.

 

(2)           KW Associates who distribute e-mail messages in mass quantities are required to maintain records that specifically verify that the KW Associate obtained express prior permission to send such e-mail from each recipient. Keller Williams will consider a KW Associate's failure to produce such verification upon request prima facie evidence that the required permission was not obtained and grounds for disciplinary action.

 

(3)           KW Associates are responsible for all Spam sent through their e-mail connections to Keller Williams' servers.   If Keller Williams receives a complaint from any third party regarding the receipt of Spam, Keller Williams will forward a copy of the complaint to the KW Associate whose e-mail connection was used to distribute the material. Within 48 hours of the time Keller Williams forwards the complaint to the KW Associate, the KW Associate must provide Keller Williams records verifying that express prior permission had been obtained (pursuant to Section 2) or, in the absence of such records, written confirmation that the complaining party has been removed from the KW Associate's e-mail distribution list, together with evidence that the complaint has been adequately resolved with the complaining party. During the 48-hour period, Keller Williams may block e-mail traffic to and from the KW Associate's IP address.   If Keller Williams does not receive the required information within 48 hours, Keller Williams may block e-mail traffic to and from the KW Associate's IP address and (if different) the IP address involved in the Spam complaint, until Keller Williams determines, in its sole discretion, that the matter has been resolved and that preventative measures have been implemented to prevent the violation from recurring. If Keller Williams receives more than one complaint regarding the same KW Associate, Keller Williams may take any other action it deems appropriate, including termination of the KW Associate's association with the Keller Williams organization.

 

(4)           Keller Williams reserves the right to block traffic to and from IP addresses that it believes are involved in hacking or port scanning. In addition, Keller Williams may from time to time block third party IP addresses that it believes are used for the distribution of Spam or are designated as open relays for Spam. The blocking of such IP addresses may prevent Keller Williams Associates from sending or receiving traffic to and from such IP addresses.

 

(5)           KW Associates are responsible to Keller Williams for all Spam sent through their e-mail connections to Keller Williams' servers or sent elsewhere using Support Services (as herein defined) provided through their connection to Keller Williams servers. " Support Services" means, without limitation, hosting websites, electronic mailboxes, telephonic gateways, IRC servers, and sale of spamming software or other similar services.
